DIWALI FIELD GUIDE · FOR OUTLET OWNERS
Diwali guide for salons
Fill available appointments without promising slots you cannot deliver.
Published by Udooh. Use this plan in the days before the festival and during each busy shift. Adapt it to your own opening hours and staffing.
1. Start with the appointment book
Before advertising an offer, check the time each service needs and the staff available to deliver it. Include cleaning and changeover time. Keep a little room for appointments that run late. A full booking book is a reason to change your message, not accept more bookings.
Choose one service or appointment window to promote. Write its duration, confirmed price and the person who can approve bookings. Keep any exclusions beside the offer.
2. Make reception messages useful
A visitor waiting at reception needs a clear next step. Show your selected service, what it includes and how to ask about availability. Keep detailed treatment information with the team rather than squeezing it onto a screen.
If you already use a digital screen, change availability messages when the appointment book changes. For a printed standee or LED-backlit printed light box, use wording that remains true until you can replace the artwork.
3. Sample copy to adapt
Diwali appointments: ask reception about available times for [service]. [Price] includes [confirmed inclusions]. Appointments subject to confirmation. Offer valid [dates]. [Exclusions, if any].
For a full day: Today's appointments are full. Ask reception about the next available date. Replace every bracket before publishing. Don't use a countdown or "last slots" message unless the team has checked it.
4. Give enquiries a clear owner
Point a QR code to your existing booking page or a contact channel someone monitors. Test it on a phone using mobile data. Ask a colleague to check the service, date and contact details shown after scanning.
A QR scan is not an appointment. Tell customers how they will receive confirmation. Use a simple desk log for requested service, requested time, response owner and booking status. Keep customer details out of public displays.
5. Check the floor before opening
Read the message from the normal waiting position. Increase text size if it needs a close look. Keep displays out of walkways and away from work areas where they could obstruct staff.
Before each shift, check advertised prices against the desk list and remove expired offers. Brief the team on what is included. Use a plain alternative message when the promoted appointment window fills.
6. Follow up after the festival
Replace festive offers with current service information as soon as they end. Ask customers who have agreed to receive marketing whether they would like future availability updates. Respect anyone who declines.
Review enquiries and confirmed bookings separately. Compare staffing time and offer costs with the bookings you recorded. If you did not track where a booking came from, leave its source unknown rather than crediting the screen.
